The Bridge Studio builds fit-for-purpose teams to deliver strategic communications, editorial, and design services. Our clients are mission-driven and work at the intersection of research, policy, and science. A significant portion of our work focuses on climate communication and policy.

In this role, you will work closely with me to map out and build back-of-house systems that improve client relationship management, project management, and new business development.

This is a discrete, three-month contract with clear objectives and measurable outcomes. The idea is that we start small and grow together over time.

What You’ll Do

This contract position supports the vision of building a business where clients and subcontractors feel equally valued and supported. It sits somewhere between a virtual assistant and a fractional COO.

To start, you will work closely with the creative director and founder, Michelle Fox, to extract institutional knowledge, document existing processes, and build scalable systems that support everyone who interacts with the project ecosystem.

 

Systems & Process Mapping

  • Map and document repeat workflows — the things we do every project that currently live in institutional memory
  • Map and document existing onboarding and offboarding sequences for both clients and subcontractors, identifying gaps, and offer solutions
  • Research existing templates, best practices, and resources
  • Build systems in Hubspot and Asana for repeat workflows
  • Produce templates for what’s repeatable: proposals, MSAs, work orders, project briefs, folder structures, etc.

 

Project Coordination

  • Prepare agendas, capture notes, identify, and follow through on action items from our weekly check-ins

 

Future responsibilities may include:

  • Supporting new business development opportunities, drafting and editing proposals, contracts, etc.
  • Bookkeeping
  • Drafting and scheduling newsletters and social media posts
  • Website updates and maintenance

 


What we’re looking for:

You have:
5+ years in business operations, project coordination, or OBM roles

 

Your are:

  • A proactive communicator, confirming receipt of emails, sharing updates and progress reports, asking questions before bottlenecks occur, clarifying and confirming requests as needed.
  • A strong writer. You have strong business writing skills and can draft templates, emails, and documents confidently.
  • Organized and value file-naming conventions and intuitive file management systems. The Bridge Studio runs like the Dewey Decimal System, and the new systems we build should, too.
  • Professional. That doesn’t mean showing up in full makeup or a suit. It means you are present and remove distractions so that we can provide the best client experience and focus on the job at hand.
  • Laser-focused and show up ready to work. Preparing agendas, taking notes, starting and ending meetings on time.
  • Strategic and thoughtfully consider how to frame, approach, and solve problems to best serve the users and business objectives.
  • Systems thinker and able to move between the 30,000-foot view and the weeds.
  • Detail-oriented. 
  • Entrepreneurial and seek out opportunities to learn new things and solve problems; you ask questions, and don’t wait to be told what to do.
  • Pro-AI. The nature of work is changing fast, forcing us to rethink the way we do business. You are interested not just in learning how to work with AI, but in building with it.
  • Enthusiasm for social impact and policy work is a plus.

 

You’re not:

  • Looking for a pure execution/task-list role
  • Uncomfortable building systems from scratch

Logistics

  • Remote Contract
  • 20 hours/month (~5 hours/week), flexible scheduling
  • $30–40/hr, depending on experience
  • Weekly check-ins + async communication via Slack and email
  • U.S. or Canada-Based Only
